Privacy Notice

How Liksens collects, uses, stores and protects your personal information.

Effective: 20 August 2026
privacy@liksens.co.za

1. Who we are

Liksens ("we", "us", "our") provides a platform for firearm licence consultant practices and individual applicants to prepare, review and track firearm licence applications. Our support email is privacy@liksens.co.za.

We are an independent application-preparation service. We are not affiliated with or endorsed by SAPS.

2. What information we collect

We collect information necessary to provide the Service, including:

  • Account information: name, email address, mobile number, password hash, and login provider details (e.g. Google OAuth profile).
  • Identity and application information: ID numbers, addresses, firearm details, motivation answers, referee details, and other information entered into application forms.
  • Supporting documents: copies of identity documents, competency certificates, proof of residence, training certificates, and other uploaded files.
  • Usage data: logins, feature usage, audit logs, and technical diagnostics to keep the platform secure and reliable.

3. How we use your information

We use personal information for the following purposes:

  • to create and maintain your account;
  • to generate and populate firearm licence application forms and motivations;
  • to enable practices and clients to review and sign off application work;
  • to process payments and refunds;
  • to communicate with you about your applications, account and support requests;
  • to maintain security, prevent fraud, and comply with legal obligations;
  • to improve the platform based on aggregated, non-identifying usage patterns.

4. Lawful basis for processing

We process personal information in terms of the Protection of Personal Information Act, 2013 (POPIA). Our lawful basis is usually the performance of a contract with you, your consent (where requested), or compliance with a legal obligation. When you consent to data processing during registration, you may withdraw that consent at any time by contacting us, though this may limit the services we can provide.

5. How we share information

We do not sell personal information. We may share it only with:

  • Your practice: if you are a client linked to a consultant practice, that practice can access the information needed to prepare your applications.
  • Service providers: trusted hosting, payment, email and analytics providers bound by confidentiality and data-protection obligations.
  • Legal authorities: when required by law, court order, or to protect our rights, users, or the public.

6. Security and storage

We use modern encryption, role-based access controls, multi-factor authentication for privileged roles, and audit logging to protect your data. Data is stored in secure cloud infrastructure with regular backups. No system is completely immune to risk, so we also maintain incident-response procedures.

7. How long we keep your information

We keep your personal information for as long as your account is active or as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. When information is no longer required, it is securely deleted or anonymised.

8. Your rights

Under POPIA you have the right to:

  • access the personal information we hold about you;
  • request correction of inaccurate or outdated information;
  • object to certain processing or request deletion where lawful;
  • lodge a complaint with the Information Regulator of South Africa.

To exercise these rights, email us at privacy@liksens.co.za.

9. Cookies and tracking

We use essential cookies to keep you logged in and to maintain security. We may also use analytics cookies to understand how the platform is used. You can manage cookie preferences through your browser settings.

10. Deletion of your account

You may request deletion of your account at any time. Because applications may contain financial records and legal documents, we may retain certain records as required by law even after account closure. We will delete or anonymise all information that is not legally required to be kept.

11. Changes to this Privacy Notice

We may update this Privacy Notice from time to time. The current version will always be available at this page. Material changes will be communicated by email or through the platform.

12. Contact us

For privacy questions, data access requests, or to withdraw consent, please contact us at privacy@liksens.co.za.

Important note. This Privacy Notice is provided as a standard template for the Liksens platform. It does not constitute legal advice. The platform owner should have the final version reviewed by a qualified South African legal professional to ensure full compliance with POPIA and other applicable laws.
